PEPPOL – E-Invoicing
Pan European Public Procurement Online or ‘PEPPOL’ is an international inter-operability standard and communications network that allows invoice senders and receivers to exchange data between their accounting systems, regardless of which accounting system each one is using.
How does it work?
PEPPOL enables organisations to send and receive invoices directly to and from their finance software. This increases efficiency, achieving a higher rate of straight-through processing and shorter payment times.
The PEPPOL network has a four–corner model. The seller is in corner one and the buyer is in corner four; corners two and three are the sender and receiver’s PEPPOL access points where data is received and converted into a format that the next system can use. This means the buyer and seller’s finance systems can exchange data without modification or even knowing which system the other is using.
The Government has mandated the adoption of e-invoicing in Commonwealth agencies by 1 July 2022, with 80% by 1 July 2021. It will pay supplier
e-invoices of under $1 million within five business days or pay interest on them. This is to help digitise the Australian economy and drive productivity, growth and economic recovery.
How does e-invoicing benefits you?
Relative to invoices received as paper or email attachments, e-invoicing is more:
Secure – It’s very hard to falsify an e-invoice as digital service providers need to meet strict cybersecurity standards and all trading partners need to be registered on the PEPPOL network.
Efficient – Each e-invoice has a standardised format, which means data is validated to a greater extent before sent. Therefore, there are fewer exceptions for the receiver to manage.
Reliable – E-invoices are delivered directly to the accounts payable automation workflow or the Enterprise Resource Planning system so they will not get lost on a desk or in an inbox.
Eco-friendly – A more efficient system means less resource and energy requirements, helping businesses to reduce their costs and meet environmental objectives.
