1. What is PEPPOL?

PEPPOL or Pan European Public Procurement Online is a framework introduced by the European Commission in 2008.Over 32 countries use PEPPOL.

It makes cross-border trade, especially with the public sector, easier. PEPPOL enables organisations to share standard documents like invoices electronically.

2. Are email invoices and eInvoices the same?

It is a common misconception that email invoices and eInvoices are the same. Email invoicing is a manual process where an invoice is sent/received in a traditional document format PDF, TIFF or JPG.

Then the AP staff enters or extrapolates the data from the invoice documenta into an organisation’s finance system, for further processing. The invoices arriving via email, are less secure and less accurate.

On the other hand, eInvoicing is an automatic process where the invoice is created in the supplier’s finance system. Then,they are transmitted electronically through the network to the buyer’s finance system. eInvoicing is faster, more secure and more accurate.

3. How does PEPPOL eInvoicing work?

The PEPPOL network converts data into a standardised, computer-readable format called Universal Business Language or UBL. With eInvoicing, the supplier does not need to know what financial system its buyer is using.

As long as the buyer is registered to receive PEPPOL eInvoices, they will receive the data into their system via their access points.

But if they are not registered to receive eInvoices, the sender’s access point will warn the invoice issuer and offer a backup option of sending the invoice as an email attachment.
